Description

GENERAL SUMMARY OF DUTIES: Responsible for greeting patients, checking patients in and out, answering phones, providing information, verifying insurance, scheduling appointments, and communicating with departments.

SUPERVISION RECEIVED: Team Leader and Billing Manager

Responsibilities

ESSENTIAL FUNCTIONS:

·         Greets patients in polite, prompt, helpful manner. Provides any necessary instructions/directions.
·         Updates patient information: enters referral information, scans and photocopies patients’ insurance cards and identification cards and updates patients’ demographic information in the computer system.
·         Enters and verifies insurance information.
·         Screens and obtains pre-authorizations when needed.
·         Provides patients with necessary forms needing completion and obtains signatures as needed.
·         Answers phones in pleasant manner and deals with customer needs expeditiously. Relays necessary messages to staff and screens calls.
·         Performs various clerical duties such as photocopying forms, reports and patient information; typing letters, forms, and labels; mailing information to patients, physicians and others as directed.
·         Uses fax machine to send notes to referring doctors and to send other documents as needed.
·         Adds postage to the postage machine as needed.
·         Changes toner of copier and fax machines as needed.
·         Take deposits to the bank.
·         Posts patient charges into the computer, collects copays, discusses payment plans and billing inquiries and prints receipts to give to patients.
·         Ensures that charges and payments balance on a daily, weekly and monthly basis.
·         Ensures that drug logs match clinical logs daily.
·         Assists with mass mail outs.
·         Books, coordinates and reschedules patients’ appointments. Maintains and updates current information on physicians’ schedules ensuring that patients are scheduled properly and appointments are confirmed.
·         Maintains clean, orderly waiting area and working area.
·         Attends required meetings and participates in committees as requested.
·         Participates in professional development activities and maintains professional affiliations.
·         Maintains confidentiality in regard to patient accounts status.

Qualifications

EXPERIENCE: Minimum of 2 years of experience in Patient Services setting, preferably 2 years receptionist experience in health care setting and experience with office equipment.

REQUIREMENTS: Computer and typing skills. Ability to travel between office locations as needed, possibly on short notice. Must possess reliable personal transportation.

KNOWLEDGE:

·         Knowledge of reception tasks, clinic policies/procedures, and paperwork.
·         Knowledge of how to use equipment including phone, fax machine, copier, postage machine and computer.
·         Knowledge of customer service concepts and techniques.
·         Knowledge of medical insurance plans.

SKILLS:

·         Skill in using office equipment and handling/filing paperwork adequately.
·         Skill in customer service principles by creating a pleasant waiting room atmosphere.
·         Skill in answering the telephone in a pleasant and helpful manner and using a multi-line telephone system.
·         Skills in basic math applications to figure out percentages of copays due and change owed to the patients.

ABILITIES:

·         Ability to communicate clearly in person and on the phone and establish/maintain cooperative relationships with patients, families, physicians, and staff.
·         Ability to organize and prioritize tasks effectively.
·         Ability to read, understand and follow oral and written instructions.
